How PlanPronto handles the details you give us when you make an enquiry. Last updated 12 October 2026.
Controller and contact
Mukesh Makwana, a sole trader trading as PlanPronto, is responsible for this information. Our business address is on the legal information page. Privacy enquiries: printetc@live.co.uk.
What we collect and why
When you contact us by telephone, email or WhatsApp, we use your name, contact details and printing requirements to respond, prepare a quote or arrange a callback and collection. The quote form asks for your name, email address, optional telephone number, the type of printing, optional sheet size, quantity and deadline, and a message. The callback form asks for your name, telephone number and brief requirements. Neither accepts uploads. Please agree a suitable method with us before sending confidential drawings or sensitive personal information.
Where you enquire for yourself, we rely on taking steps at your request before entering into a contract. Where you enquire on behalf of an organisation, we rely on our legitimate interests in answering that enquiry. Where we keep order and accounting records, we rely on contract and our legal obligations. We do not use enquiry details for an unrelated mailing list or marketing consent flow.
Online form processing
When you submit a form, your details are sent over an encrypted connection to a small Amazon Web Services function in its London (eu-west-2) region, which emails them to our business inbox using Amazon Simple Email Service. For quote requests, your email address is set as the reply address so we can answer you directly. We do not keep form submissions in a website database; the enquiry is held as an email in our inbox and follows the retention rules below. We rely on legitimate interests in preventing spam and misuse. The handler limits repeated submissions using a keyed hash derived from the source IP address and an hourly time bucket, does not store enquiry text in the rate-limit table, and sets a two-hour expiry. Technical logs are kept for seven days and are designed not to include message contents.
How long we keep information
Our policy is to keep enquiries that do not become orders for up to six months after the last substantive exchange, then delete the active and archived copies we control, unless a specific justified reason requires longer retention. We are implementing a monthly review of the business inbox and other retained copies. Provider backups may take longer to expire and may not allow immediate deletion of one message; restored copies must be removed again. Completed orders and associated accounting records follow a separate retention schedule appropriate to their purpose and legal obligations.
Who receives information
Authorised people in the printing business and its email provider may handle enquiries. Amazon Web Services hosts this website and processes online form requests. If you choose the separate WhatsApp link, WhatsApp also processes your message under its own privacy terms. We do not sell enquiry details.
International transfers
Our email, website hosting and messaging providers may process information outside the UK. Where they do, they state that they rely on recognised safeguards such as UK adequacy regulations or approved contractual clauses. You can ask for information about relevant safeguards using the privacy contact above.
Your rights
Depending on the circumstances, you may ask for access, correction, erasure or restriction of your information, or object to processing based on legitimate interests. Contact us using the privacy email above. You can complain to the Information Commissioner's Office.
